This Refund Policy explains how Cosmic ("we," "us," or "our") handles refund requests for Cosmic External software licenses and related one-time purchases. This policy supplements our Terms of Service and Billing Policy.
Overview
Cosmic provides digital software licenses that grant immediate access upon successful one-time payment. Because our products are delivered electronically and license keys are issued at purchase, most license fees are non-refundable once access has been activated. We evaluate refund requests on a case-by-case basis in accordance with this policy and applicable consumer protection laws.
Eligibility for Refunds
You may be eligible for a refund under the following circumstances:
- Initial purchase window: First-time buyers may request a refund within 7 days of the original purchase date, provided the Software has not been substantially used.
- Technical inability: You are unable to use the Software due to a verified compatibility issue on a supported system that our support team cannot resolve within a reasonable timeframe.
- Duplicate charges: You were billed more than once for the same license purchase due to a processing error.
- Unauthorized transactions: A charge was made without your authorization, subject to verification with the payment provider.
Non-Refundable Situations
Refunds will generally not be issued in the following cases:
- Repeat purchases where the license key has been activated and the Software has been downloaded or used beyond minimal evaluation.
- Requests made after the 7-day initial purchase window for first-time buyers.
- Account suspensions or terminations resulting from violations of our Terms of Service.
- Change of mind after substantial use of the Software or its features.
- Partial refunds for unused time remaining in a license term after the key has been activated.
Substantial Use Definition
For refund purposes, "substantial use" includes, but is not limited to: activating a license key, launching the Software more than once, downloading updates through the Cosmic launcher, or using core features for an extended session. Cosmic reserves the right to determine whether substantial use has occurred based on account and activation records.
How to Request a Refund
To submit a refund request, contact our support team with the following information:
- The email address associated with your purchase.
- Your license key or order reference number.
- The date and amount of the charge in question.
- A detailed explanation of the reason for your refund request.
Send refund requests to support@cosmic-panel.xyz with the subject line "Refund Request." We aim to acknowledge all requests within 2 business days.
Review Process
Upon receiving your request, our team will review your account history, activation logs, and payment records. We may contact you for additional information before making a determination. Approved refunds are processed to the original payment method used at checkout. Payments are processed according to the selected payment provider's requirements and policies, and refund timing may vary based on your bank or card issuer.
Refund Timeline
Approved refunds are typically initiated within 5–10 business days of approval. Depending on your financial institution, it may take an additional 5–14 business days for the refunded amount to appear on your statement. You will receive email confirmation once a refund has been processed.
License Expiration vs. Refunds
Cosmic licenses are sold as one-time purchases for a fixed term. When your license expires, access ends automatically. Expiration does not automatically qualify you for a refund of the current term. To continue using the Software, purchase a new license through checkout. For billing questions, contact billing@cosmic-panel.xyz.
Chargebacks
We encourage you to contact us directly before initiating a chargeback with your bank or payment provider. Unauthorized or fraudulent chargebacks may result in immediate suspension of your license and account. We will provide relevant transaction documentation to payment providers when disputes arise.
Policy Changes
We may update this Refund Policy from time to time. Changes will be posted on this page with a revised "Last updated" date. Material changes will not affect refund requests submitted before the effective date of the update.
